Here, you’ll find clear and detailed guidelines on everything from accessibility and code of conduct to volunteer and participant expectations. Our policies are designed to ensure a positive and welcoming environment for everyone involved.

NO DROP OFF POLICY

At all Casey’s Clubhouse activities and events, we enforce a "No Drop-Off" policy to ensure the safety and well-being of all participants, regardless of age. To provide a secure and enjoyable experience, a parent, guardian, or designated support person must be present at all times to supervise the participant.
The designated support person is responsible for attending to any needs outside the scope of the registered activity, such as medical assistance, personal care, or bathroom breaks. Casey’s Clubhouse staff and volunteers are authorized specifically to manage and facilitate our programs but are not responsible for providing individual assistance or one-on-one supervision.
In instances where a participant requires personal assistance or closed-door interactions, it is the responsibility of the parent, guardian, or designated support person to address those needs.
In the event of a medical emergency when the family member or support person cannot be reached, our staff will promptly contact 911 to ensure that immediate medical attention is provided.
Thank you for helping us maintain a safe, inclusive, and supportive environment for all participants at Casey’s Clubhouse.

MEDIA WAIVER

I hereby grant Casey's Clubhouse, along with its affiliates, sponsors, franchises, advertising and promotional agencies, and their agents, the irrevocable, unrestricted right to use, publish, display, and distribute materials bearing my name, voice, likeness, or any other identifiable representation of myself, my family members, including my Casey's Clubhouse player/child.
These materials may appear in any form, style, color, or medium whatsoever, including, without limitation, photographs, videos, films, sound recordings, software, drawings, prints, broadcasts, internet, and other electronic media.
I agree that all materials containing any identifiable representation of my child or family members, including, without limitation, all negatives, plates, and masters of any photographs, files, prints, or tapes, shall be and remain the sole and exclusive property of Casey's Clubhouse.
I hereby release and forever discharge Casey's Clubhouse from any and all liability and damages relating to the use of my child or family's name, voice, likeness, or any other identifiable representation.
I acknowledge that I have fully read and understand this document and that I have had any questions regarding its effect or the meaning of its terms answered to my satisfaction.

MEDICAL WAIVER

Purpose of This Binding Agreement: By reading this document and registering for our programs, "You," the undersigned (sometimes also referred to as "User" or "I"), agree to release and hold Casey’s Clubhouse (“Club” or “We”) harmless from, and assume all responsibility for, any claims, demands, injuries, illnesses (including COVID-19), damages, actions, or causes of action to persons or property arising out of or connected with your use of the Club's facilities, premises, or services. This agreement and release extend to the Club, its employees, agents, independent contractors, other users of the Club, and all persons on the Club's premises.
Acknowledgment of Risks: You acknowledge and understand the risks associated with participating in various activities at the Club, including potential injury, disability, and death. You assume all risks associated with activities and equipment use at the Club, including non-supervised times.
Physical Condition: You declare yourself to be physically sound and understand that physician approval may be necessary for your participation in exercise or fitness activities. You accept full responsibility for your participation in all activities and use of equipment or machinery.
Waiver and Release: In consideration of being allowed to participate in Club activities and use its equipment/facilities, you hereby waive, release, and forever discharge the Club, along with its directors, officers, agents, employees, representatives, successors, and assigns, from any and all responsibilities or liability related to injuries or damages resulting from your participation.
Loss or Theft of Property: Casey’s Clubhouse is not responsible for lost or stolen items. By signing this Agreement, you assume responsibility for your property and that of any dependents, agreeing to waive any right to file a claim against the Club related to lost or stolen property.
Governing Law: This Agreement shall be governed by Pennsylvania law. If any provision of this Agreement is deemed invalid, the remaining sections shall remain in effect and enforceable.
Acknowledgment: I have read and understood this Agreement, its Exhibits, and any Rules and Regulations of Casey’s Clubhouse. I agree to be bound by the terms and conditions, which shall apply to me and my heirs, executors, administrators, successors, and/or assigns.

PARENT CODE OF CONDUCT POLICY

Purpose
Casey’s Clubhouse is dedicated to creating an inclusive community where individuals with disabilities can thrive as athletes, teammates, and members of society. This Parent Code of Conduct outlines expectations for behavior and engagement to ensure a safe and enjoyable experience for all participants, families, and staff.

Expectations
  1. Respect
    • Treat all participants, volunteers, staff, and other parents with respect, courtesy, and kindness to foster an environment of acceptance.
    • Embrace diversity and inclusion, appreciating individual differences as we build a community that reflects our mission.
  2. Positive Support
    • Encourage and support your child and other participants positively, recognizing the potential for growth in every individual.
    • Be a role model by exhibiting good sportsmanship and fair play, reinforcing our commitment to authentic relationships.
  3. Communication
    • Communicate openly and respectfully with coaches, staff, and other parents, fostering connections that extend beyond the field.
    • Address concerns through appropriate channels, such as designated staff members, to promote meaningful relationships within our community.
  4. Safety
    • Prioritize the safety and well-being of all participants, contributing to an environment that aligns with our mission.
    • Follow safety guidelines and instructions provided by Casey’s Clubhouse staff during activities and events to ensure a secure space for everyone.
  5. Involvement
    • Actively and enthusiastically participate in Casey’s Clubhouse events, programs, and activities, contributing to the vibrancy of our inclusive community.
    • Volunteer your time or skills to support the organization whenever possible, strengthening connections both on and off the field.
  6. Follow Policies
    • Familiarize yourself with and adhere to all Casey’s Clubhouse policies, including those related to behavior, social media, and child protection, to uphold the values of our organization.
    • Encourage your child to follow Casey’s Clubhouse rules and guidelines, reinforcing our commitment to a supportive environment.
  7. Sportsmanship
    • Promote good sportsmanship, teamwork, and a positive attitude in your child and others, reinforcing the principles that underpin our mission.
    • Refrain from negative or disruptive behavior during games and events, contributing to a positive and enjoyable experience for all.
  8. Privacy
    • Respect the privacy of all participants and avoid sharing sensitive information without proper consent, fostering a community built on trust.
    • Do not engage in gossip or harmful discussions about other participants or their families, nurturing an atmosphere of acceptance and understanding.
Consequences of Violation
Violations of this Parent Code of Conduct may result in disciplinary actions, including verbal warnings, suspension from Casey’s Clubhouse activities, or, in severe cases, permanent dismissal from programs. Decisions will be made at the discretion of Casey’s Clubhouse staff and the Board of Directors.

Acknowledgment
By registering yourself or a participant for Casey’s Clubhouse programs, you acknowledge that you have read and understand this Parent Code of Conduct. Casey’s Clubhouse reserves the right to update this code periodically, and any changes will be communicated to parents.

PARTICIPANT CODE OF CONDUCT

Purpose
Casey’s Clubhouse is committed to fostering an environment of acceptance, teamwork, and enjoyment for all participants. This Participant Code of Conduct outlines expectations for behavior, promoting a positive and inclusive experience on and off the field.

Expectations
  1. Respect
    • Treat teammates, coaches, volunteers, and other participants with respect, kindness, and understanding to create an atmosphere of acceptance for everyone.
    • Embrace diversity and appreciate the unique qualities of each individual, fostering connections within the Casey’s Clubhouse community.
  2. Positive Attitude
    • Maintain a positive and enthusiastic attitude during games, practices, and events, contributing to the uplifting spirit of Casey’s Clubhouse.
    • Be selfless, prioritizing the needs of the team and fellow participants over personal interests.
  3. Good Character
    • Uphold good character by demonstrating honesty, integrity, and responsibility both on and off the field.
    • Act as a positive role model for other participants, embodying the values of Casey’s Clubhouse in your words and actions.
  4. Enthusiasm
    • Show enthusiasm for the game and the Casey’s Clubhouse community, encouraging a sense of joy and excitement among teammates and spectators.
    • Celebrate achievements with genuine enthusiasm, recognizing the efforts of yourself and others.
  5. Sportsmanship
    • Demonstrate good sportsmanship by displaying fairness, respect for opponents, and adherence to rules, reflecting the values of baseball as the foundation of our mission.
    • Celebrate the successes of teammates and opponents alike, creating an inclusive and supportive sports environment.
  6. Team Unity
    • Recognize that every teammate is essential to the team's success, valuing the contributions of each individual.
    • Embrace differences in skill levels, celebrating the unique abilities and efforts of all participants.
  7. Safety First
    • Prioritize your safety and the safety of others by following all safety guidelines and instructions provided by Casey’s Clubhouse staff during activities and events.
    • Alert coaches or staff to any safety concerns, ensuring a secure and enjoyable experience for all participants.
  8. Inclusivity
    • Encourage inclusivity by making an effort to involve all participants in activities, fostering connections and friendships on and off the field.
    • Be selfless in your interactions, considering the well-being and happiness of your teammates.
  9. Follow Policies
    • Familiarize yourself with and adhere to all Casey’s Clubhouse policies, including those related to behavior, social media, and safety, contributing to the success of our programs.
    • Participate in activities and events in accordance with Casey’s Clubhouse rules and guidelines, respecting the values and principles of our organization.
  10. Communication
    • Communicate openly and respectfully with coaches, volunteers, and fellow participants, promoting positive interactions and teamwork.
    • Share any concerns through appropriate channels, such as designated staff members, to ensure a supportive and enjoyable experience for everyone.
  11. Privacy and Confidentiality
    • Respect the privacy and confidentiality of all participants, refraining from sharing sensitive information without proper consent.
    • Avoid gossip or harmful discussions about teammates or their families, contributing to a trusting and respectful Casey’s Clubhouse community.
  12. Legal Conduct
    • Participants must abide by the law. If an adult participant is found to be in trouble with the law, Casey’s Clubhouse reserves the right to determine their eligibility to continue in the program.
Consequences of Violation
Violations of this Participant Code of Conduct may result in disciplinary actions, including verbal warnings, suspension from Casey’s Clubhouse activities, or, in severe cases, permanent dismissal from programs. Decisions will be made at the discretion of Casey’s Clubhouse staff and the Board of Directors.
